Administration Assistant
Riverside Unit K, Austin Way, Hamstead Industrial Estate / Birmingham / United Kingdom

This is a pivotal position within our organisation and will involve working closely with our technical and sales team as well as customers. The company has strong growth objectives for the short to medium term and this will be a key appointment to achieve this goal. The ideal candidate must be well organised, able to prioritse tasks and work to tight deadlines and have excellent communication skills both by phone and email in what can be a fast-paced working environment. The applicant will be expected and supported to develop and expand the role with a view to improve company performance and customer relationships. The role is part-time (20h a week)based in our Birmingham office, any request for remote working has to be agreed with your direct manager.

Responsibilities:

  • Processing new sales orders through to completion/despatch
  • Ensure despatch and project documentation is complete in accordance with company policy
  • Take ownership of quote generation and management using company CRM system
  • Support with maintenance of customer records via CRM
  • Ability to work in a fast-paced environment managing a heavy workload
  • Assist with essential administration tasks including filing and processing expenses
  • Communicate with customers, sales reps and end users via phone, email and in person as required
  • Maintain good communication with new and existing customers, dealing with project related enquiries and monitoring their account status
  • Effectively and efficiently follow up customer enquiries to ensure ongoing customer satisfaction and manage existing customer relationships to provide a positive customer experience and secure potential sales leads
  • Communicate with other Pettinaroli group companies to understand and share good practices
  • Manage time effectively and work collaboratively with other members of the team to meet performance goals
  • Comply with all company policies and procedures
  • Maintain professionalism with customers and colleagues
  • Perform other duties as and when required

 

Job Requirements:

  • A minimum of 1 year of experience in an internal sales role or similar is desirable
  • Knowledge of commercial plumbing and HVAC systems would be advantageous (but not compulsory)
  • Bachelor's Degree in a job-related field or relevant experience
  • Confident with excellent communication skills, both written and verbal
  • Ability to work well under pressure within a sometimes fast paced environment.

  • Computer literate – Experienced in the use of MS Office and CRM systems would be advantageous
